Hi Kallie, Ben and Tom,
Thank you for the opportunity to put together a proposal for the Utah 2034 website refresh.
The groundwork your team has done is very useful. The site outline is clear, the content plan is thoughtful, and the page concepts give us a solid picture of what the site needs to say and do. That planning work lets us move straight into design with confidence about structure and content.
This site has a specific job and a known lifespan. It represents Utah 2034 to the public, the press, and future volunteers for the next several years, until the Games-time platform takes over. That's an argument for building it well and building it sensibly: a strong design, a clean WordPress build your staff can run without developer help, and no overengineering for a future the site won't have.
Project Summary
CHALLENGE
The current Utah 2034 site was built for the bid era, and it shows. The structure and content have outgrown the presentation, and the site no longer reflects the caliber of the organization behind it. Your team has mapped out what the refreshed site should contain. What's needed now is a design that represents the Games well and a build that makes the site easy to update as news and programs grow.
SOLUTION
A complete design and build that will:
- Give Utah 2034 a site that looks like it belongs to the organization hosting the Games
- Start with a focused kickoff to confirm priorities and map content, so nothing stalls mid-project
- Rebuild on a clean foundation, replacing years of accumulated cruft with a structure that's fast, organized, and understandable
- Make publishing effortless: news, updates, and new pages your team can handle in minutes, with the design staying intact no matter who's editing
- Keep the site healthy long-term, with structure that protects the design as the team and content grow
- Handle the practical work: your news archive migrated, volunteer registration built in, video and social throughout
OUTCOME
A website that represents Utah 2034 with confidence: well designed, easy to navigate, and simple for your team to keep current. Built to serve the organization capably for its full working life, without paying for more site than the job requires.
INVESTMENT
$10,000 with work completed in 10-12 weeks from kickoff. This includes full design and development of the refreshed site: complete design, a working prototype you can review in the browser, and a full WordPress build with your news archive migrated and your team trained to manage it going forward.
Our Design Approach
We design websites that reflect the organizations behind them, and Utah 2034 comes with a rare advantage: a brand people already feel something about. The rings, the mountains, the memory of 2002. The site's design should put that to work rather than get in its way.
Our design philosophy for this project centers on three principles:
Let the Brand Lead
Utah 2034 has a distinctive identity, and the site should carry it with confidence: strong typography, real photography of athletes and places, and layouts that give the brand room to breathe. The goal is a site that feels unmistakably like the Games, not a template wearing Olympic colors.
Built Around Real Jobs
This site has clear work to do: publish news as the story unfolds, present the organization and its people, and give future volunteers a way to raise their hands. We design each of those paths to be obvious and fast, on any device, so the site does what it should, quickly and easily.
Simple to Run
News, milestones, and program updates will be constant between now and the Games. We structure the site so your staff can publish, update, and rearrange content without touching a developer. The design system stays consistent no matter who's doing the updating.
The result: A site that represents Utah 2034 the way it deserves to be represented, works for the people who visit it, and stays easy to manage for the team behind it.
Project Details
We'll work with your team to design and build the refreshed Utah 2034 site, working from the sitemap and content plan you've already developed. Our process moves from a short kickoff into design, then a working prototype, then the WordPress build. You'll see the site take shape at each step, with clear approval points along the way.
Kickoff
- A focused working session with your team to confirm priorities, review the sitemap, and settle open questions
- We'll map out content together: what carries over from the current site, and what needs to be written, with a clear owner for each piece
- Several pages in the new structure are brand new (FAQs, Resources, etc), so getting this sorted early keeps the project moving
Design
- Full visual design in Figma: the Home page to establish visual direction, plus one versatile interior page design
- The interior design works as a flexible template, covering Games Vision, Organization, News, Volunteers, and footer-level pages through reusable sections and layouts
- Fully responsive, designed to work well at every screen size
- Your page concepts serve as reference for content and structure; the visual design is developed fresh
Prototype
- We build the approved design as a working HTML prototype before development begins
- This is where the design gets reviewed against real screens: typography, spacing, and responsive behavior at actual sizes
- You review and approve the site as it will actually look, not as a static image
Development
- WordPress build using Bricks Builder, matched to the approved prototype
- News set up as a proper publishing system your team can add to in seconds
- Volunteer interest form built with consent checkboxes and notifications, using Gravity Forms
- Video embeds, social links, and search included
- Technical SEO best practices throughout: clean heading structure, meta tags, alt text, mobile optimization
Accessibility
The Games are for everyone, and the site should be too. We build to accessibility fundamentals as standard practice: semantic structure, keyboard navigation, meaningful alt text, sufficient color contrast, and forms that work with assistive technology.
Content
- We handle all data entry: existing content carried over from the current site and reorganized, new content placed as your team provides it
- Your team owns the content creation. We will help establish what each page needs, so content requirements are clear
- The news archive is migrated and organized (up to 40 articles), with redirects so old links keep working
- Training included, so your staff can publish news and make updates confidently from launch onward
Launch
We'll coordinate launch timing with your team and handle deployment, testing, and redirects – all on your existing Cinch hosting, so there's no platform transition to manage.
Hosting & Support
Utah 2034 is already hosted and maintained through our sister company, Cinch Web Services, and that continues without interruption. The refreshed site launches on the same infrastructure your team already knows: no migration, no new vendor, no gap in coverage.
What Continues
- High-performance WordPress hosting with SSL, security hardening, and daily offsite backups
- Ongoing updates to WordPress core, plugins, and themes
- Uptime monitoring and "30-minute fixes" under your existing maintenance plan
Premium Plugin Bundle
The rebuilt site runs on Cinch's premium plugin bundle: commercial licenses for the professional tools the site is built with, including Bricks Builder, Gravity Forms, and Advanced Custom Fields, kept licensed and updated by Cinch. The bundle is $25/month, added to your hosting plan at launch. It covers licensing that would otherwise run several hundred dollars per year purchased directly, and keeps every premium tool on the site current and supported.
The numbers
Investment & Schedule
The investment for the Utah 2034 website refresh covers the complete project: design, prototype, WordPress build, news migration, data entry, and training.
This is a single, fixed price for a defined scope. No hourly surprises. The site described in this proposal is the site that launches.
Payment is split 50% at kickoff, 50% at launch.

Project Timing
The project runs approximately 10-12 weeks from kickoff, with launch targeted for mid-December 2026, ahead of the holidays and within the window your team outlined for content deployment. Dates are estimates and will be confirmed at kickoff.
Two things keep this schedule on track:
Timely reviews. Each phase ends with your approval before the next begins. We'll flag review points in advance so they're easy to plan around.
Content delivery. Several pages in the new structure need to be written by your team (FAQs, Resources, and others). We'll define exactly what's needed at kickoff, with content due before development begins in early November. The launch date holds as long as the content does.
